Sanofi has recently embarked onto a vast and ambitious digital transformation program. A cornerstone of this roadmap is the acceleration of its data transformation and adoption of artificial intelligence (AI) and machine learning (ML) solutions, to accelerate R&D, manufacturing and commercial performance and bring better drugs and vaccines to patients faster, to improve health and save lives. 

The Digital R&D Data & AI Products and Platforms Team is a key team within R&D Digital, focused on developing and delivering Data and AI products for R&D use cases. This team plays a critical role in pursuing broader democratization of data across R&D and providing the foundation to scale AI/ML, advanced analytics, and operational analytics capabilities. 

As the Executive Assistant, you will be providing comprehensive administrative support to the Head of Digital R&D Data AI Products and Platforms, ensuring efficient operations and effective communication across the organization. The ideal candidate will be proactive, resourceful, and able to manage multiple priorities efficiently.

Main Responsibilities:

Executive Support

  • Manage complex calendars, schedule meetings across multiple time zones, and coordinate with internal and external stakeholders  

  • Coordinate domestic and international travel arrangements, including logistics for conferences, workshops, and site visits 

  • Process and reconcile invoices, expense reports in a timely and accurate manner and handle procurement requests as needed 

  • Maintain and organize digital files, ensuring easy access and security 

  • Maintain confidential files and documentation and handle confidential information with discretion 

  • Prepare and distribute meeting materials, take minutes, and follow up on action items 

Team Support & Coordination

  • Provide administrative support to the Digital R&D Data AI Products & Platforms team, including organizing departmental and team events, workshops, off-sites, leadership meetings and logistics 

  • Maintain team distribution lists, organizational charts, and shared resources 

  • Support HR functions such as onboarding new employees as needed 

  • Track and follow up on action items from leadership and team meetings 

Communications 

  • Draft, edit, and distribute internal communications on behalf of Head of Digital R&D Data AI Products and Platforms 

  • Manage information flow and ensure timely responses to inquiries 

  • Coordinate internal and external communications (presentations, reports, briefing materials) on behalf of leadership 

  • Support the preparation and/or consolidation of materials for governance meetings, leadership reviews, and cross-functional initiatives 

  • Partner with other Executive Assistants across R&D and the organization to ensure alignment and best practice sharing 

About You

Qualifications:

  • Proven experience as an Administrative Assistant, Executive Assistant or similar role 

  • 3+ years of experience as an Administrative Assistant, preferably supporting senior leaders in a pharmaceutical, biotech, or healthcare environment 

  • Bachelor's Degree (preferred) 

  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines 

  • Strong written and verbal communication skills 

  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint), Zoom  

  • Experience with travel coordination and expense management systems (e.g., Concur) 

  • High level of professionalism, discretion, and confidentiality 

  • Ability to work independently and as part of a team 

  • Experience supporting senior executives preferred
